Submit General Info

Vehicle Name

This is the Unique Name you use to identify the vehicle in your company for example if your vehicle uses a number system you would enter it here. This is not internal use only and is not revealed on the front end to the Traveler.

Vehicle Location

This address is important because it is used to calculate rates for your vehicle. If your vehicle is located in a different address from that of your company make sure you confirm that address here to ensure accuracy.

  • Color

  • Passenger Accommodation

  • Luggage Capacity

This data is used to properly index your vehicle in the database. A Traveler with have the ability to narrow their search with these parameters.

Ridehire Currently focus on the following primary categories to to assist the traveler in finding the best vehicle for their needs:

  • SUV's & Hummers

  • Sedans, Towncars, & Coupes

  • Buses, Coaches, & Shuttle.

  • Vans & Sprinters.

Which Sub Category Best Describes this vehicle

A sub Category Represents the Uniqueness of the Primary Category Selected. For example A Stretch Sedan and a Sedan differ from a Stretch SUV even though they are both considered limo vehicles.

This information is for internal use only and is to make sure there are no duplicate vehicles in out system. In the Future vin numbers will be used to assist with locating

This is how your vehicle displays on the internet. This is used for Search Engine Optimization (SEO) and to describe the vehicle in detail.

This makes the traveler aware of some of some of the more common restrictions may not apply to this vehicle allowing you to connect with more specific audiences.

Cancellation Policy

Ridehire Has 3 built in cancelation policies to educate the traveler on the process.

Buffer Duration between Events

Buffer Duration refers to the minimum time required to prepare for the next event. For Example if the buffer duration is set to 1 Hour. The Ridehire will not show the vehicle available until 1 Hour after a booking has completed and returned back to its location.

This is to insure staff has enough time to clean and prepare the vehicle for any additional assignments as well as prevent bookings running into each other.

A host Can add:

  • 1 Primary Image

    That will be on all Emails and Promotional Content for the vehicle.

  • 1 Secondary Image

    Will be able to quickly viewed when hovered or when 2 Images are present.

  • 10 Additional Images

    This is to give the user additional angles of the vehicle and its amenities.

Calendar

Primary Calendar

You can link a Google Calendar to a vehicle, so bookings are automatically added to the calendar. If an event is added to the vehicle’s calendar, it will block that time, making the vehicle unavailable.

Conflict Calendars

Conflict Calendars let you reference additional calendars to check availability. Bookings are only added to the primary calendar, not conflict calendars.

For example:

  • A large company might link multiple shared driver calendars to ensure someone is available or use a corporate calendar to block times when the vehicle is regularly in use, so it doesn’t appear available to retail customers.

  • A single owner-operator might link their personal calendar to block times for personal events.

This helps ensure accurate availability without overbooking.

Base Rate

Rates are Created and assigned to each day of the week. A rate can be used for multiple vehicles once created.

Allowance Time

The grace period is a buffer time you can apply to the pickup or drop-off transit.

For example, if you set a 15-minute grace period for drop-off:

  • No transit fee is charged for trips shorter than 15 minutes.

  • If the trip exceeds 15 minutes, only the additional time beyond the grace period will be charged.

Season Assignment

Seasons let you set different rates for specific calendar dates. For example, if a season is active and has a higher priority, the vehicle will show a different rate during that time.

Once a season is created, you can assign rates to specific days of the week. If no season is assigned, the default rate will apply.

Using seasons is the first step toward fully automating your booking process.
